Configuring Outlook 2003 for POP3

Mail Server Settings

If you have a Kellogg Laptop Program computer, Outlook was pre-configured for you when you ran the Kellogg Configuration Manager. New students ran the Configuration Manager on Check-in day. You do not need to make any changes. Please see our documentation on using Outlook.

If you are configuring Outlook on a non-KLP computer, click the Tools menu and select E-mail Accounts to begin the configuration process.


 

Select Add new e-mail account and click Next.

Select POP3 and click Next.


On the E-mail Accounts screen, enter your account information. You will need to have your Email address, mail server, and NetID. This information is included in the account information letter distributed to new students.

For User Name, use your NetID. For Incoming and Outgoing mail server, use the mail server listed on your account letter (casbah, hecky, lulu, or merle).

Once you have finished entering your account information, click More Settings.

Click the Advanced tab.

Under Incoming server (POP3), check the box for This server requires a secure connection (SSL). Once you check the box, the Incoming server port should be set to 995. If not, set it to 995.

Do not change the settings for the outgoing server. Your settings should match those shown at right.

Click OK when finished.

Click Next, then Finish.


Outlook is now configured to check your Kellogg email account.


Northwestern Directory

Northwestern has an online directory you can use to search for Kellogg student, faculty and staff email addresses. To configure the Northwestern Directory in Outlook:

On Outlook's menu bar, go to the Tools menu and select E-mail Accounts.

Select Add a new directory or address book.

Click Next.

Select Internet Directory Service (LDAP).

Click Next.


In the Server Name field, enter directory.northwestern.edu

Click More Settings.

Enter Northwestern LDAP in the display name field.

Click the Search tab.

In the Search base field, enter:
dc=northwestern,dc=edu

Your settings should match those shown at right.

Click OK.

Click Next, then Finish.


Outlook is now configured to use the Northwestern Directory.

Signature

You should customize Outlook with a personalized Signature. The Signature will be appended at the bottom of each message you send. To create a signature:

On Outlook's menu bar, go to the Tools menu and select Options.

Click the Mail Format tab, then click the Signatures button.

Click New.

Give your Signature a name (keep it simple -- something like "standard").

Enter your signature in the Signature text field, as shown at right.

If you would like to customize the appearance of your Signature, click the Font button to change the font face, style (italic, bold, etc.), size, and color. To change the alignment (left, center, or right), click the Paragraph button.

When finished, click Finish.

Click OK.


Confirm that your signature is selected for both Signature for new messages and Signature for replies and forwards, then click OK.


You are finished adding your signature.


Setting Outlook as the Default Mail Client

If Outlook is not already the default mail client on your computer (mail links on web pages should open in Outlook), there are two places you need to set Outlook as the default mail client.

Internet Options Control Panel

Click the Start button, then select Control Panel.

Double-click Internet Options. If you do not see Internet Options, select Network and Internet Connections, then Internet Options.

Click the Programs tab.

Choose Microsoft Outlook in the E-mail drop menu.

Choose OK.



Start Menu (Windows XP Only)

To make Outlook the mail client in the Start menu, right-click on the Start button and select Properties.

Click Customize.

Select Microsoft Outlook in the E-mail pull-down menu.

Click OK, then OK again.

 

 


Troubleshooting

If you are having trouble checking mail in Outlook, please see if your problem is listed below.

Outlook is still configured for your former employer's Exchange server
If you're using a laptop that it is still configured to connect to your former employer's Exchange mail server, you will need technical support. If you have the Kellogg Laptop Program computer (and reconfigured it for your company's mail server), please visit the Technical Support Center in Jacobs Center room 163. Students without the Kellogg laptop will need to contact Northwestern IT.

Outlook only checks mail manually
If Outlook checks mail when you click the Send/Receive but is not regularly checking for new mail on its own, please do the following:


Click the Tools menu, select Send/Receive, then Send/Receive Settings, then Define Send/Receive Groups.

Make sure Schedule an automatic send/receive every (15) minutes is checked.

Click Close.

Note: Do not set Outlook to check mail more often than every 10 minutes.
