Palm Synchronization with Meeting Maker

Overview

The following instructions will walk you through the process of installing the Palm Desktop software and syncing with Meeting Maker, our electronic calendar at Kellogg. If you've already installed Palm Desktop, skip ahead to Installing Meeting Maker Conduit.

Requirements

You must have Palm Desktop version 4.x to sync with Meeting Maker. If you are using Palm Desktop version 3.x or earlier, you will need to download and install version 4 before proceeding. Backup your Palm data, then download and run the Palm Desktop version 4.x installer--it will upgrade your current version to 4.x.

Installing Palm Desktop

If you have not already installed Palm Desktop (the software that allows your PC and Palm to interact), you'll need to do so before attempting to sync your Palm with other programs.

  • Palm OS PDAs from Palm, Inc., download Palm Desktop 4.0.1 here.
  • Palm OS PDAs from Handspring, Inc., download Palm Desktop here.
  • Palm OS PDAs from IBM, Sony, or other manufacturers: Use your installer CD or consult the manufacturer's web site for an installer.

Run the installer.


When prompted whether you wish to perform a Complete or Custom installation, select Complete.

Enter your name for the User Name.


Select USB or Serial Port.

If you will be using the serial port, select COM1.


When the installer has finished, plug in your Palm cradle, put the Palm in the cradle, and push the Sync button.

The first time you sync your Palm, you may see the "Found New Hardware Wizard." Choose "Install the software automatically."


Installing Meeting Maker Conduit

If you have any data on your Palm, you should backup your Palm data before installing the Meeting Maker conduit. Once you've backed up your Palm data:

Download the Meeting Maker installer.

Find and double-click the 71_win_client_en.zip file.

Double-click Setup.exe. (You do not need to extract the files first.)

De-select "Install meetingmaker Client" and select "Install meetingmaker Conduits for the Palm device," as illustrated at right.

Important: Select Install the Date Book Conduit only.

Make sure that Install Address Book Conduit and Install the Todo List Conduit have been de-selected, as shown at right.


Click Yes to restart Hot Sync Manager.

Select Move local meetingmaker database and click Next.

Read (or don't read) the meetingmaker Conduits for Palm Devices Readme, and you're done installing the conduit. Now, you need to configure it.

Configuring Meeting Maker Conduit

Right-click on the Hot Sync Manager icon () in the bottom right corner of the screen.

Select Custom.

Select meetingmaker DateBook and click Change.

Enter your NetID and password. Make sure the Timezone of Data on Palm field matches the time zone on your Palm. Make sure all other settings match those shown above.

You can now sync your Palm with Meeting Maker.

Syncing with Meeting Maker

A few things to keep in mind when syncing your Palm with Meeting Maker:

  • Your computer must be connected to the network--if your computer can't connect to the Meeting Maker server, your Datebook will not sync.

  • When you change your NetID password, you will need to change your password in the Meeting Maker conduit.

Syncing via Infrared

Infrared syncing is not as fast as serial or USB syncing, but you may wish to sync this way when you can't carry a Palm cradle with you. To sync via Infrared on a Kellogg Laptop Program computer, you'll need to make a few changes on the laptop first.

On KLP ThinkPad T22 laptops

Click the Start button, select Settings, then Control Panel. Double-click Infrared. Click the Options tab. To disable the Infrared alert sounds, click the Preferences tab, and de-select Play sounds when available devices come within range...

Left-click on the Hotsync icon in the bottom right corner of the screen and make sure Local Serial is selected. Left-click on the Hotsync icon again, this time selecting Setup. Click the Local tab and select COM4. This will enable Infrared syncing, but will disable serial port syncing. To switch back to serial port syncing, switch back to COM1.

On KLP ThinkPad T23 laptops

Left-click on the Hotsync icon in the bottom right corner of the screen and make sure Infrared is selected.

On the Palm PDA

Once you've made the configuration changes on your laptop outlined above, do the following on your Palm handheld:

Click the Home button.

Select Hotsync (if you don't see it, select All from the pull-down menu in the top-right corner of the screen and look again).

In the pull-down menu just below the Hotsync icon, select IR to PC/Handheld.

Click the Hotsync icon, then place the Palm in front of your laptop's Infrared port. You should see Hotsync status windows on both the laptop and Palm.
